Gliffy integration with Slack

You can integrate Gliffy with Slack to streamline communication and enhance the collaboration experience by providing a visual representation of diagrams in Slack conversations.

You can share diagram snapshots by pasting shareable links into Slack channels. Gliffy app for Slack unfurls shareable Gliffy diagram links and displays the image snapshots directly in the Slack channel.

The Slack integration is available for Gliffy Confluence Cloud. To use the Gliffy app in Slack, you will require an active subscription to Confluence Cloud.

Add Gliffy app to Slack workspace

Prerequisites:

You need permissions to add applications to a Slack workspace. Once you or another user installs the app, it is installed for everyone in the Slack workspace.

Follow these steps:

  1. Open the Slack workspace to which you want to add the Gliffy app.

  2. In the left menu panel, navigate to Apps and click Add apps.

    If another user in the Slack workspace already installed the Gliffy app, you will see the app added in your list of applications.
  3. Search for Gliffy by Perforce and click Add.

  4. Click Add to Slack.

    A new window with access permissions request opens.

  5. Review the Gliffy permissions request to access the Slack workspace and click Allow.

    You will be redirected to Slack.

  6. Click Open Slack.

Your Slack workspace opens. You can find Gliffy under Apps in the main menu panel on the left.

Log in to Confluence from your Gliffy app in Slack

To be able to share and preview Gliffy diagrams in Slack, you need to be logged in to Confluence, from the Slack app. This is configured per user.

Prerequisites:

The Gliffy app is installed in your Slack workspace.

Follow these steps:

  1. In your Slack workspace, in the menu panel on the left, navigate to Gliffy under Apps.

  2. Click Add Confluence site.

    You will be redirected to an Atlassian Confluence web page where you can authorize a Confluence Cloud site of your choice.

  3. Log in to your Atlassian account.

    Slack requests access to your Atlassian account. You can see a drop-down list of all Confluence sites that you are allowed to access with your Atlassian account.

  4. Click the drop-down list and select a Confluence site of your choice.

    If you want to share Gliffy diagram links with preview in Slack, ensure that you grant access to the particular Confluence site that contains the diagrams.
  5. Click Accept.

  6. Navigate to the Gliffy app in Slack. In the Home tab, you can see the list of Connected Confluence Site(s).

  7. (Optional): You can add more Confluence Cloud sites. Click Add Confluence site to add other sites, one by one.

    You are now logged in to Confluence Cloud and can use the Gliffy app in Slack.

If you are a part of a Slack enterprise grid and have the Gliffy app installed in several Slack workspaces, you only need to log into Confluence once and it will be reflected in all your workspaces. Any Confluence sites you add in one workspace will also apply to all your workspaces.

Share Gliffy diagrams in Slack

You can copy shareable links from Gliffy lobby or from an edit mode of a diagram and paste them into Slack to share diagram preview.

Prerequisites:

Ensure that you added the Gliffy app to the Slack workspace. You should be able to see Gliffy under Apps in the main menu panel on the left. For more information, see Add Gliffy app to a Slack workspace.

Follow these steps:

  1. Navigate to the Gliffy Lobby and select a diagram that you want to share via Slack.

  2. Click the ellipsis button and click Copy link.

    You can also open a diagram in edit mode and click Collaborate, then click Share. When a shareable link pops up, click Copy link.
  3. Paste the diagram link to the Slack channel of your choice and click Send now.

The link is shared in Slack and a preview of the diagram is shown. To open the diagram, click the link. Or, click the Open in Edit Mode button.

Remove Slack access to the Confluence Cloud site

If you no longer want Slack to access your Atlassian account and therefore the Confluence Cloud sites that you have previously approved, you can remove access for the app using the button below.

Removing Slack access to your Atlassian account will remove all your connected Confluence sites. Any Gliffy links that you share will not have the diagram preview available.

Follow these steps:

  1. In your Slack workspace, in the menu panel on the left, navigate to Gliffy under Apps.

  2. In the Home tab, in the Connected Confluence Site(s) section, click Revoke access.

  3. Click Remove.

Uninstall the Gliffy app from a Slack workspace

Depending on your Slack permissions levels, you can uninstall the Gliffy app.

Follow these steps:

  1. In the main menu panel on the left, under Apps, click Gliffy.

  2. Click Configuration.

    A Slack configuration page opens. There are two tabs, Description and Configuration.

  3. In the Configuration tab, scroll down to the Remove App section.

You uninstalled the Gliffy app from the Slack workspace, for every user in the workspace.

In the Configuration section, you can see Gliffy as an authorized member. Depending on your Slack permission levels, you can revoke the authorization token for Gliffy. However, revoking will just make the Gliffy app unusable. To remove the Gliffy app, uninstall it completely.

Troubleshooting

The link you shared in Slack does not show a preview of the diagram

Check the following:

  • You are logged into your Atlassian Confluence account.

  • You granted Slack access to the Confluence site where your diagram is located.

  • Navigate to Apps, Gliffy to see if you received a message from the Gliffy app. Click the link in the message to navigate to the Atlassian page where you can grant Slack access to your Atlassian Confluence account and Confluence spaces.
